Assets Analytics User Guide: Managing and Visualizing Asset Data in Jira

Assets Analytics is a powerful Jira plugin designed to help you manage and visualize your asset data through advanced queries and interactive dashboards. This guide will walk you through all the key features and functionalities.

 


Global Asset Query Management

The Global Query Management page is your central hub for creating and managing advanced queries across your asset data.

Creating a New Query

  1. Navigate to the Global Query Management page

  2. Click Create Query or the + New Query button

  3. Define your query using the advanced query builder:

    • Select the schemas, asset types or attributes you like to include

    • Add filters and conditions on the selected attributes

    • Use logical operators (AND, OR, NOT)

  4. Name your query for easy identification

  5. Click Create to store your query

Note: only the name and the schema is required for the query creation.

Managing Existing Queries

You can perform the following actions on your saved queries:

  • Edit: Modify query parameters and conditions

  • Delete: Remove queries you no longer need

Important Note: Deleting a query will affect any gadgets that use it. If you delete a query that is being used by one or more dashboard gadgets, those gadgets will no longer display data and may show an error message. Before deleting a query, make sure to check if it's being used in any dashboards, or be prepared to reconfigure affected gadgets with a different query.

Data Flow Visualization

The Global Query Management page includes a graph that visualizes the flow of data through your queries. This graph helps you:

  • Understand how data moves through your query logic

  • See relationships between different query components

  • Identify bottlenecks or inefficiencies in data processing

  • Visualize the query execution pipeline

The flow graph updates dynamically as you build or modify your queries, providing real-time insight into your data structure.

Dashboard Gadgets

Dashboard gadgets allow you to visualize your query results directly on your Jira dashboards.

Adding a Gadget

  1. Go to your Jira dashboard

  2. Click Add Gadget

  3. Search for Assets Analytics

  4. Select the Assets Analytics gadget

When you select the Assets Analytics gadget, you'll be taken to the Edit page.


Gadget Configuration

The edit page is where you configure your gadget before it displays on your dashboard.

Configuration Steps

  1. Add Description: Enter a description for your gadget to help identify its purpose

  2. Choose Gadget Type: Select between two types:

    • Chart: Display data visualizations

    • Filter: Create interactive filters that affect all gadgets on the dashboard

  3. Select Query (Chart Type Only): Choose a saved query from the Global Query Management page

  1. Additional Configuration (Filter Type Only):

    If you selected Filter as the gadget type, additional inputs will appear:

    • Schema: Select the asset schema you want to work with

    • Object Type: Choose the specific object type from your schema

    • Attributes: Select which attributes you want to use as filters (you can choose multiple)

    The number of attributes you select determines how many filter dropdowns will appear on the View page.

    Save Configuration: Click Save to apply your settings

After saving, you'll be taken to the View page where your configured gadget will display.


Data Visualization (View Page)

After saving your configuration on the Edit page, you'll see the View page where your data comes to life through various chart types.

Filter Gadgets

If you configured a Filter type gadget, the View page will display dropdown select menus based on the attributes you chose:

  • Multiple Dropdowns: One dropdown appears for each attribute you selected in the Edit page

  • Attribute Values: Each dropdown displays the available values for that attribute

  • Cross-Gadget Filtering: When you select values from these filter dropdowns, they filter data across all gadgets on the dashboard, not just one

  • Dynamic Updates: All chart gadgets update in real-time as you apply filters

Example: If you selected "Department" and "Product Status" as attributes, you'll see two dropdowns. Selecting "Engineering" in the Department filter and "Active" in the Status filter will update all chart gadgets to show only active engineering assets.

Chart Gadgets

For Chart type gadgets, you can choose from different chart types to visualize your data.

Each chart type has a Config tab to customize its behavior and appearance to your needs.

Available Chart Types :

Table View

Perfect for detailed data inspection with sortable columns and inline editing capabilities.

Best for: Detailed analysis, data verification, bulk operations

KPI (Key Performance Indicators)

Display critical metrics in a clear, prominent format with trend indicators.

Best for: Executive dashboards, at-a-glance performance monitoring

Sankey Flow Diagram

Visualize the flow and relationships between different asset categories or states.

Best for: Process flows, state transitions, relationship mapping

Treemap Chart

Show hierarchical data using nested rectangles sized by value.

Best for: Portfolio distribution, capacity planning, hierarchical structures

Pie Chart

Display proportional data as segments of a circle.

Best for: Category distribution, percentage breakdowns, simple comparisons

Bar Chart

Metrics Builder

Config Options:

  • Aggregation Method: Select how to aggregate data (Count, Sum, Average, Min, Max, etc.)

  • Attribute: Choose which attribute to apply the aggregation to

  • Group By: Select attributes to group results by for multi-dimensional analysis

  • Combine multiple metrics in a single view

Query Context

Each gadget displays the name of the query used to generate its data.

Clicking on the query name redirects you to the Global Query Management page, where the query is defined.

This allows you to:

  • Review the query logic and conditions

  • Edit or optimize the query

  • Understand exactly how the displayed data is generated

This direct link ensures full transparency between dashboard visualizations and their underlying data sources.

Interactive Controls

Drill Down: Click on chart elements (bars, segments, nodes, or KPI values) to view more detailed information related to that data point.

Change Chart Type: Switch between available visualization types to analyze the same query results from different perspectives.

Refresh Data: Manually refresh the gadget to re-run the query and display the latest available data.

Filter Integration: Chart gadgets automatically respond to any active Filter gadgets on the dashboard, updating results in real time.

Export to CSV

Every gadget includes an Export CSV feature that allows you to download your data:

  1. Locate the Export CSV button on any gadget

  2. Click to download the data

  3. The exported CSV will include:

    • All data currently displayed in the gadget

    • Any filters that have been applied from filter gadgets

    • Data formatted based on your current view settings

Filter-Aware Export: The CSV export respects all active filters, so you only export the data you're currently viewing. This ensures your exports are always relevant to your filtered context.


Admin Page

The Admin page provides administrators with oversight tools to monitor system health and manage critical situations.

Overview Statistics

Administrators can view:

Overall Asset Statistics

  • Total number of assets in the system

  • Asset distribution across schemas and object types

  • Asset status summaries

  • Key metrics and trends

Overall Query Statistics

  • Total number of queries created

  • Query execution statistics

  • Most frequently used queries

  • Query performance metrics

Critical Case Management

Purging Failed Queries

In cases where queries fail or become problematic, administrators have the ability to purge them:

  1. Navigate to the Admin Page

  2. Review the list of failed queries

  3. Select the query/queries causing issues

  4. Click Purge to remove them from the system

This emergency action helps maintain system stability and performance when queries encounter critical failures.

When to Purge Queries

Consider purging queries when:

  • Queries are stuck in a failed state

  • Queries are causing system performance issues

  • Queries contain corrupted data or invalid configurations

  • Emergency cleanup is needed to restore system functionality


Best Practices

  1. Name Queries Clearly: Use descriptive names that explain what the query does

  2. Regular Maintenance: Review and clean up unused queries periodically

  3. Document Complex Queries: Add descriptions for queries with complex logic

  4. Monitor Performance: Keep an eye on slow-running queries and optimize them

  5. Leverage Filters: Use filter gadgets to create interactive dashboards that allow dynamic data exploration

  6. Export Strategically: Apply filters before exporting to CSV to get exactly the data you need
