As an Administrator, you can nominate Ambassadors or revoke their privileges, starting with version 1.2, you can also manage group browsing policies to filter which groups can be browsed by members.

Accessing Group Ambassadors Admin page

You can administrate Group Ambassadors from its admin page which is located on the "Add-on" page, accessed by the sidebar:

You can also use the "GG" shortcut (pressing 'G' key twice) and start typing "Manage Ambassadors"

Nominating a group Ambassador

You can use the top form in the admin page to nominate any user Ambassador for any group. Just start typing a user name and a group name and click on "Save", a notification will confirm the success of the operation and the list will refresh:

Starting with version 1.1, multiple Users and Groups can be combined. When selecting multiple values, all selected users will become Ambassador for all selected groups.

Revoke Ambassador privilege

You can use the "Revoke" action in the "Current Group Ambassadors" to revoke an Ambassador privilege for a group to any user. As you might have guessed, the Revoke action will revoke privilege for the group named on the same line  A notification will confirm the privilege have been successfully revoked:

Starting with version 1.8.4 we've introduced a new view for current Ambassadors and revoking Ambassador privilege is done in two simple steps:

As pictured above, choose the user you want to revoke privileges to and click on "View X managed group(s)".

A new window will display the groups the user is currently Ambassador of, you can then use the "Revoke" link from there!

Monitoring Group Ambassadors Logs

With version 1.1, Group Ambassadors now allows you to monitor Ambassadors nomination and privileges revokation. You can access the Group Ambassadors Logs using the "Log" menu in the "Add-on" section of Jira's administration or by using the "Logs" entry in the "GG menu" (as described above). The logs will show as follow:

Logs can be filtered to retrieve actions related to either a User (ambassador status logs) or a group using the dropdowns above the list.



Group Limits New

Since version 2.1.6 we introduced a Group Limit feature which allows Group Ambassadors admins to limit the number of users Ambassadors can add in a group. Simply pick a group, define a limit :

Group Browsing Policies 

Group Ambassadors allows you to define "group policies" which are used to filter which groups can be browsed from group browser.

For each group in your instance, you can choose to apply group browsing policies: either disabling group browsing to everyone (including admins!) or restricting group browsing to certain users/groups.

To do so, simply pick a group in the "Group" dropdown, choose the policy type (and if you want to restrict, choose which groups/users can access from the two new dropdowns . Once ready, click "Add", if anything goes wrong, you'll be notified!



Admin Tools

Admin Tools module is a set of Tools which can help admins of Group Ambassadors for complex actions such as :

  • Find all ambassadors for a group

  • Nominate an Ambassador to all groups

  • Revoke all Ambassador privileges for a user (revoke Ambassador status for all groups it was active)

  • Clearing tool (Group Ambassadors keeps trace of group names and users in a database which is not aware of any group or user deletion, those tools delete all reference to non existing items)

Global Settings

From that page you can control a few options which are globally applied.

Group Browsing

Using that toggle button you can choose to enable/disable Group Browsing globally (i.e. no user will be able to browse any of his/her groups).
By default, this option is enabled.

Extended Browsing

Using that toggle button you can choose to enable/disable listing of groups users are member of but not allowed to browse (either because it's globally disabled or through a specific policy).
By default, this option is disabled (to simplify users interface).

Advanced Logging

Using that toggle button you can choose to enable/disable logging for Ambassadors actions (Ambassador adding or removing a group member).
By default, this option is disabled (as it's available in Jira's audit log).

Self promotion

Using that toggle button, you can enable/disable self promotion for Ambassadors. Self promotion is when an Ambassador, not member of a group, uses its Ambassador privileges to grant themselves group membership.
In other words, disabling this option will prevent Ambassadors from adding themselves in groups they are allowed to manage.

By default, this option is enabled.

Super Ambassadors

Using that toggle button you can choose to enable/disable Super Ambassadors feature which allows Ambassadors of a group to nominate Ambassadors for that group by themselves.
Please note that Ambassadors (non administrators) can't revoke an Ambassador privilege, they'll have to request it to admins, except if Extended Super Ambassador (below) is enabled!

By default, this option is disabled.

Extended Super Ambassadors

Using that toggle button you can choose to enable/disable Extended Super Ambassadors feature which allows Ambassadors of a group to revoke Ambassador privileges to any Ambassador of that group by themselves.
This option is not dependant on the Super Ambassadors option and can be enabled/disabled separately.

By default, this option is disabled.

 Users Groups

Using that toggle button you can choose to enable/disable Users Groups feature which allows Ambassadors to see other users' groups membership from within the group browser view.
This setting will also enable the Group Membership Explorer.

By default, this option is disabled.
