Budget - Dashboard

The Project Dashboard in Chronova serves as a central hub for managing a project's financial and operational health. It provides real-time insights into key metrics such as budget, labor costs, expenses, and issue tracking. This dashboard is essential for project managers who need to ensure that resources are being used effectively and that projects stay within budget.

Project Overview

At the top of the dashboard, you'll find critical information about the project's status, including the Start and End Dates, Total Budget, Labor Costs, and Expenses. The remaining budget is calculated automatically based on the total budget and incurred costs, providing a clear view of how much money is still available. This section acts as a quick summary of the project's current standing, allowing you to assess the situation at a glance.

Cumulative Cost Overview: Visual Financial Breakdown

The dashboard presents a clear visual of the project's financial progress over time, highlighting:

  • Cumulative Total Cost Line: Displays the running total of all project costs, providing insight into how expenses are accruing over the project's duration.

  • Labor Costs Bar Plot: Represents the costs associated with labor on a periodic basis, allowing you to see when labor expenses peak.

  • Expenses Bar Plot: Shows the non-labor expenses incurred, such as materials or third-party services.

You have the flexibility to filter out any of these components—cumulative total cost, labor costs, or expenses—to focus on specific aspects of your project's financials. This interactive feature helps you analyze trends, identify cost spikes, and make informed decisions about resource allocation.

Sync Function

While Chronova maintains real-time synchronization with Jira through triggers—automatically updating whenever an issue or worklog is edited or deleted—there are specific scenarios where manual synchronization is required. One such case occurs when a user logs time on an issue linked to a Chronova project, but the worklog date falls outside the project's defined date range. In this situation, the worklog is initially skipped during automatic sync.

To address this, the dashboard includes a Sync Function that allows you to manually synchronize the project's data. This feature ensures that any changes, such as adjustments to the project's date range, are accurately reflected in Chronova. By initiating a manual sync, you can capture all relevant worklogs and data that may have been missed during automatic updates.

Project Insight

The Project Insight section dives deeper into the financials, displaying the total amount spent so far. You can also see the Most Expensive Day, helping you understand where peaks in spending occurred. Additionally, the system calculates the Anticipated Budget End Date based on the current spending rate, providing a valuable forecast for project completion. These insights enable better financial planning and resource allocation throughout the project lifecycle.

Expenses Insight

Managing expenses is crucial for any project, and the Expenses Insight section provides a detailed breakdown of approved, pending, and unapproved expenses. A visual chart makes it easy to understand where the project stands in terms of financial commitments. This feature helps keep track of where money is being spent and ensures that all expenses are accounted for properly, reducing the risk of budget overruns.

Labor Insight

In the Labor Insight section, you can track the total hours logged by team members. This part of the dashboard also shows the number of Approved Hours and any Unapproved Hours that are still pending review. Understanding how much time has been invested in a project is critical for managing labor costs and ensuring that the team’s efforts align with the project’s goals. The approval rate gives an indication of how smoothly worklogs are being processed and approved.

Issues Insight

Chronova’s integration with Jira allows for seamless tracking of issues within each project. The Issues Insight section provides detailed information about each issue, including the Issue Key, Summary, Status, and Total Hours Logged. This ensures that managers not only track time but also have visibility into how that time is being allocated to different tasks within the project. The connection between time spent and issue progress helps ensure that resources are being used efficiently to move the project forward.

Notifications and Alerts

Chronova’s dashboard includes key notifications to help you stay informed about critical project milestones and settings. These notifications serve as early warnings, allowing managers to take action when necessary:

  • Budget Threshold Alerts: Notify you when the project approaches its budget limit, providing time to adjust resource usage or project scope.

  • Budget Exceeded Alerts: Triggered when the project exceeds its allocated budget. The alert includes detailed information about the overspending amount and helps managers plan corrective actions.

  • Labor and Expense Alerts: Inform you of any discrepancies in worklog approvals or pending expenses, ensuring nothing slips through the cracks.

  • Comments on Issues exceeding the allocated budget.

Worklogs are still added to Jira, just not taken into consideration in Chronova

  • Automatic Approval Mode Indicator: Displays a clear notification if Automatic Approval for worklogs and expenses is enabled. This feature simplifies the approval process, making it easier for teams to manage time and expenses without the need for constant manual approvals. It helps streamline operations, especially for projects with high volumes of logged time or expenses.
